If your printer says a cartridge is not recognised, missing, incompatible or cannot be detected, don't assume you need a replacement straight away. Many cartridge recognition problems can be resolved with a few simple checks.

A cartridge recognition message does not necessarily mean the cartridge is faulty. Common causes include the cartridge not being fully seated, protective packaging still being attached, dirty electrical contacts, a temporary printer memory error, incorrect cartridge installation or printer firmware.

How to Fix a Cartridge Not Recognised Error

Work through these steps in order. After each step, check whether the printer now recognises the cartridge.

STEP 1

Check you have the correct cartridge

Check the cartridge reference against your exact printer model. Printer ranges with very similar names can sometimes use different cartridges, so don't rely on appearance alone.

STEP 2

Check all protective packaging has been removed

New cartridges can have several pieces of protective packaging. Depending on the cartridge, look for:

  • Plastic transport clips or covers
  • Pull tabs or sealing strips
  • Protective tape over cartridge contacts
  • Orange, yellow or coloured transit pieces
STEP 3

Remove and reinstall the cartridge

Remove the affected cartridge and reinstall it carefully. Make sure it sits fully in position and, where applicable, clicks or locks into place. A cartridge can appear to be installed while still being slightly out of position.

STEP 4

Perform a Full Printer Power Reset

Simply switching the printer off and straight back on may not fully clear an error held in its memory. A complete power reset can sometimes clear temporary cartridge communication faults.

  1. With the printer switched on, turn it off using its normal power button.
  2. Wait until the printer has completely shut down.
  3. Disconnect the power cable from the printer.
  4. Disconnect the power cable from the wall socket.
  5. Leave the printer disconnected for around 60 seconds.
  6. Reconnect the power cable directly to the wall socket and printer.
  7. Switch the printer back on.
  8. Allow it to complete its normal start-up checks before testing again.
Why does this help? Removing power completely allows temporary stored states within the printer to clear. This can sometimes resolve a cartridge error that survives a normal restart.
STEP 5

Check the cartridge contacts

Many cartridges communicate with the printer through a small electronic chip or set of electrical contacts. If these cannot communicate properly, the printer may report that the cartridge is missing or incompatible.

Check for obvious dirt, packaging or damage. If necessary, gently wipe accessible cartridge contacts using a clean, dry, lint-free cloth. Avoid touching the chip or contacts with your fingers and never use abrasive cleaners.

STEP 6

Remove and reinstall all cartridges

On printers using several cartridges, one cartridge can sometimes prevent the printer completing its normal cartridge check. Remove and carefully reinstall the full set, making sure each colour is installed in the correct position.

STEP 7

Try the previous cartridge if you still have it

If the previous cartridge is still available, reinstalling it can be a useful diagnostic test. If the old cartridge is recognised but the new one is not, let our support team know. If neither cartridge is recognised, the issue may lie with the printer rather than the cartridge.

Does “Non-Genuine” Mean the Cartridge Is Not Working?

Not necessarily. Some printers display a message such as “non-genuine”, “non-OEM” or “used or counterfeit cartridge” when they detect a compatible cartridge.

If the printer gives you the option to continue, accept or acknowledge the message, you can normally continue printing. A warning that identifies a cartridge as non-original is different from an error where the printer cannot detect the cartridge at all.

If the general troubleshooting above hasn't fixed the problem, your printer may have a brand or model-specific cartridge procedure.

Could Printer Firmware Be the Cause?

Modern printers contain firmware — internal software that controls the printer and how it communicates with cartridges. Printer manufacturers occasionally release firmware updates that alter cartridge communication or recognition.

Firmware should not be your first assumption when a cartridge fails to recognise. Work through the installation, packaging, power reset and contact checks first. If the problem appeared immediately after a printer firmware update, however, tell our support team as this information may help with diagnosis.

Is Only One Cartridge Causing the Error?

If your printer uses separate black, cyan, magenta and yellow cartridges, pay attention to which colour the printer is identifying.

If three cartridges are recognised normally and one repeatedly reports an error after being removed and refitted, this is useful diagnostic information. Make a note of the affected colour and cartridge reference before contacting us.

Cartridge Recognition FAQs

Why is my new cartridge not recognised?

The cartridge may not be fully installed, protective packaging may still be attached, the printer may need resetting, or the cartridge may not be communicating correctly with the printer. Work through the steps above before assuming the cartridge needs replacing.

How do I hard reset my printer?

Switch the printer off normally, disconnect its power cable from both the printer and wall socket, leave it disconnected for around 60 seconds, then reconnect the power and restart it. Allow the printer to complete its normal start-up process before checking the cartridge again.

Does a non-genuine cartridge warning mean there is a fault?

No. Some printers simply inform you that a compatible cartridge rather than an original manufacturer cartridge has been fitted. If the printer offers an option to accept or continue, follow the on-screen instructions.

Should I clean the cartridge chip?

If the contacts are visibly dirty, they can be gently wiped with a clean, dry, lint-free cloth. Avoid touching electrical contacts unnecessarily and do not scrape, sand or use abrasive cleaning products on the cartridge chip.

Could a firmware update stop a cartridge being recognised?

Printer firmware controls communication between the machine and its cartridges, so firmware can sometimes be relevant to recognition problems. If an error began immediately after an update, let our support team know the printer model and cartridge reference.
