Help with toner cartridge problems

Follow these practical checks if your toner cartridge is not recognised, still shows as empty, produces faded pages or causes streaks, marks and uneven print quality.

Please keep the cartridge and all packaging.

Make a note of the exact printer message and avoid discarding the cartridge, transport seals or protective covers. Many toner problems can be resolved through installation checks or a model-specific reset.

Toner not recognised

Installing a toner cartridge correctly

Toner cartridges are supplied with protective parts to prevent toner movement and damage during transport. These must be removed before installation.

  1. Check that the toner code matches your exact printer model. Similar-looking cartridges may use different fittings or electronic chips.
  2. Remove the cartridge from its packaging while keeping it level.
  3. Remove all orange, yellow, blue or coloured protective clips, covers and transport materials.
  4. Remove the sealing strip where one is fitted. Pull it slowly and evenly in the direction shown on the cartridge.
  5. Gently rock the cartridge from side to side several times to distribute the toner evenly inside.
  6. Install the cartridge in the correct slot or drum unit and make sure it is fully seated before closing the printer.
Do not pull a sealing strip with force

If a seal feels trapped, stop and check the instructions or contact support. A torn sealing strip may remain inside the cartridge and prevent toner from reaching the page.

Toner cartridge not recognised

Recognition messages are often caused by the cartridge not being fully installed, a protective component remaining attached, a chip-contact issue or the wrong cartridge version being used.

  1. Note the exact wording of the printer message before removing the cartridge.
  2. Confirm that the product code matches the printer and the correct colour slot.
  3. Remove the toner and check for transport clips, covers or packaging material.
  4. Inspect the cartridge chip and contact area for visible dirt or damage. Avoid touching electronic contacts unnecessarily.
  5. Reinstall the toner firmly and ensure any toner-and-drum assembly is fully locked into place.
  6. Switch the printer off, disconnect it from the power supply for two minutes and then restart it.
Do not repeatedly install replacement cartridges

If several cartridges produce the same recognition message, the cause may be the printer, cartridge contacts, firmware or a reset requirement rather than multiple faulty toners.

Printer still says low or replace toner

Some printers do not automatically clear an old toner message when a replacement cartridge is installed. The printer may require the cartridge to initialise, the cover to be opened and closed correctly or a model-specific toner reset.

  • Remove and reinstall the toner cartridge firmly.
  • Check that the printer cover closes completely.
  • Allow the printer to complete its calibration or initialisation process.
  • Print a supplies-status or configuration page where available.
  • Check whether your printer family requires a toner counter reset.
  • Do not reset the drum counter unless the drum unit has actually been replaced.

Toner reset

A toner reset tells the printer that a replacement toner has been fitted. The exact procedure varies by printer model, cartridge yield and colour.

Drum reset

A drum reset is separate and should normally be completed only after fitting a new drum unit. Resetting the wrong counter may create confusing supply information.

Faded, light or uneven printing

Light printing can be caused by uneven toner distribution, a sealing strip that has not been fully removed, an incorrect print-density setting or wear elsewhere in the printer.

  1. Remove the cartridge and confirm that the full transport seal has been removed.
  2. Keep the cartridge level and gently rock it from side to side five or six times.
  3. Reinstall the toner and print a test or configuration page.
  4. Check whether Toner Save, Eco or Draft mode is enabled in the printer settings.
  5. Confirm that the correct paper type and print-quality setting are selected.
  6. If only one colour is faint, compare that cartridge with the other colour positions and contact support with a test page.
Rock the cartridge gently

Keep the cartridge horizontal and move it slowly from side to side. Do not shake it vigorously or hold it vertically, as loose toner may escape.

Lines, streaks, marks and background shading

Not every laser print-quality problem is caused by the toner cartridge. Drum units, transfer components, fusers and the internal paper path can produce similar symptoms.

Toner cartridge and drum unit combinations

On many Brother and some other laser printers, the toner cartridge fits into a separate drum unit. The toner holds the powder, while the drum transfers the image onto the page.

  • Make sure the toner locks securely into the drum unit.
  • Slide the corona-wire cleaning tab where your drum includes one.
  • Return the cleaning tab to its marked home position after cleaning.
  • Do not expose the drum surface to bright light for long periods.
  • A drum warning does not necessarily mean the toner cartridge is empty.
  • A toner warning does not normally require the drum counter to be reset.

Xerox toner recognition messages

Xerox printers may display messages such as unsupported toner, invalid cartridge, incorrect supply or cartridge not installed. The exact meaning depends on the printer model and supply code.

  • Confirm that the cartridge code is correct for the exact Xerox model.
  • Check whether the cartridge is intended for the printer’s sales region.
  • Remove and reinstall the toner in the correct position.
  • Inspect the cartridge chip and contact area.
  • Record the printer firmware version and exact message.
  • Contact support before discarding or returning the cartridge.

When the problem may not be the toner cartridge

A toner replacement may not resolve issues caused by a worn drum, transfer belt, fuser, imaging unit or internal printer component.

Contact support if the same print defect remains in exactly the same position after the toner has been reinstalled, or if several different cartridges produce the same result.

  • Repeated marks at regular intervals may indicate a rotating component.
  • Toner that rubs off may point to paper settings or a fuser issue.
  • Marks affecting every colour may originate beyond one toner cartridge.
  • A completely blank page may involve toner transfer or printer hardware.
  • Grinding, clicking or unusual mechanical noise should be investigated promptly.

Toner cartridge questions

Why does my printer still say replace toner?

The cartridge may not be fully seated, the printer may not have completed its initialisation process or your printer model may require a toner counter reset. Check the cartridge installation before using any reset procedure.

Should I shake a toner cartridge?

Gently rock it from side to side while keeping it level. Do not shake it vigorously, turn it upside down or squeeze the cartridge, as loose toner may escape.

What happens if I forget to remove the sealing strip?

The page may print blank or extremely faint because toner cannot move correctly from the cartridge. Remove the toner and check that the full seal has been withdrawn.

Does a new toner require a new drum?

Not usually. On printers with separate toner and drum units, the drum normally lasts through several toner cartridges. Replace the drum only when required by its condition, print quality or the printer’s drum-life message.

Should I reset the drum when replacing toner?

No. A drum counter should normally be reset only when a new drum unit has been installed. Toner and drum counters are separate.

Why are marks repeating down the page?

Repeating marks often relate to a rotating component such as a drum, roller or fuser. Send us a test print showing the marks and, where possible, measure the distance between them.

Should I return the toner immediately?
