Xerox Toner Not Recognised?
Seeing a toner not recognised, cartridge not detected, supply error or cartridge communication message on your Xerox printer? This guide will help you work through the most common causes, including specific firmware guidance for the Xerox C320 and C325.
The quick answer
A Xerox toner recognition error does not automatically mean the cartridge is faulty. The message can be caused by a cartridge that has not seated correctly, protective packaging left in place, an incorrect toner reference, a chip communication issue or the printer's firmware.
Which Xerox Printers Does This Guide Cover?
The general troubleshooting steps can help with many Xerox laser printers. The firmware section below is specifically intended for:
Before Updating Your Xerox Firmware
Firmware is only one possible cause. Before changing your printer software, work through these simple checks first.

Xerox C320 & C325 Firmware Update
Firmware is the internal software used by the printer to control its operation and communicate with cartridges and other components. For the Xerox C320 and C325, the firmware update process may require two stages.
Install the Xerox C320/C325 bridging firmware first. Allow the update to finish completely and the printer to restart. You can then install the latest firmware for your exact printer model.
Before You Begin
- Make sure the printer is connected to a reliable power supply.
- Do not turn the printer off while firmware is installing.
- Do not begin an update if you urgently need to use the printer.
- Download firmware only from the official Xerox support website.
- Make sure the software is intended for your exact printer model.
- If the file is supplied as a ZIP archive, extract it before attempting to upload the firmware file.
- If your printer is managed by your employer or IT provider, check with them before installing firmware.
C320 & C325 Firmware Update Order
Install the bridging firmware
The bridging firmware is an intermediate update that prepares the printer for the newer software version. Install this before attempting the latest C320 or C325 firmware.

Once the bridging firmware has finished and the printer has fully restarted, download and install the latest software for your exact Xerox model.
Update Using the Xerox Printer's Web Page
If your Xerox printer is connected to your network, its built-in web interface is generally the simplest way to upload the firmware.
- Find the Xerox printer's IP address from its network or printer settings.
- On a computer connected to the same network, open a web browser.
- Enter the printer's IP address into the browser address bar.
- Log in as the printer administrator if requested.
- Open Settings > Device > Software Update > Upload a Software File.
- Select Browse and choose the Xerox firmware file you downloaded.
- Select Upload.
- When asked to confirm, select Proceed.
- Leave the printer alone while the firmware uploads, installs and the printer restarts.
Update Xerox Firmware Using USB
If your Xerox printer supports firmware updates through its front USB port, the update can also be installed from a USB drive.
- Prepare a USB drive and remove unnecessary files from it.
- Download the correct firmware directly from Xerox.
- If Xerox supplies it as a ZIP archive, extract the downloaded file first.
- Copy the firmware file onto the USB drive.
- Insert the USB drive into the printer's front USB port.
- When the USB contents appear, select the three-dot menu beside the firmware file.
- Choose Update Code.
- Select Proceed when asked to confirm.
- Allow the printer to finish the update without turning it off.
What to Do After the Firmware Update
Once the update has completely finished and the printer has returned to its normal ready screen:
Will Updating the Firmware Always Fix the Problem?
No. Firmware can help when the recognition problem is related to the printer's software, but it is not the only possible cause.
A toner not recognised message can also result from an incorrect cartridge, damaged or dirty cartridge contacts, a cartridge chip communication problem, packaging left in place or, less commonly, a fault within the printer itself.

Xerox Toner Recognition FAQs
Why does my Xerox printer say toner not recognised?
Common causes include a toner cartridge that is not installed correctly, the wrong cartridge reference, cartridge chip communication problems, protective packaging that has not been removed or an issue with the printer firmware.
Should I update the firmware as soon as I see a toner error?
Not necessarily. First check that the correct toner is fitted, remove and reinstall it, check that all packaging has been removed and restart the printer. Firmware is one troubleshooting step rather than the cause of every recognition error.
Do the Xerox C320 and C325 need the bridging firmware?
Where Xerox specifies the bridging update, install it before the current model-specific firmware. Allow the bridging update and printer restart to complete fully before starting the second update.
Can I switch the Xerox printer off during a firmware update?
No. Avoid interrupting the printer while firmware is installing. Loss of power during an update can cause the installation to fail and may create additional printer problems.
Can Xerox printer firmware be downgraded?
You should not assume that a newer firmware version can be rolled back. Only install official Xerox firmware intended for your exact model and follow Xerox's current instructions.
What if my compatible Xerox toner is still not recognised?
If the cartridge is definitely correct and the troubleshooting above has not resolved the problem, use Chat Assist or contact us before replacing it. If the cartridge was purchased from Printer-Cartridges.co.uk, we can help establish whether the issue is with the toner, the printer or its configuration.
